The six fields

Part number and bin locate it, cost and list price price it, on-hand counts it and last sold date ages it. Drop the last sold date and the dead stock question becomes unanswerable, which is why it is the field most often missing from a spreadsheet.

The four figures

Accuracy (matched lines over lines counted), the reorder point (usage times lead plus cover, over seven), margin (profit over the price actually charged) and turns (cost of goods sold over average inventory). Each is arithmetic on fields you already keep.

What to ask a vendor to show you

Not a feature list: ask for those four figures produced from a sample of your own data during the demo. On the worked example that is 87% accuracy, a reorder point of 21 units, a 40% margin and four turns a year, and any system worth buying can show its version of all four.

Is a spreadsheet enough?

For the arithmetic, often yes, and the sheets on this site are proof: they are the arithmetic and they are free. What a spreadsheet does badly is being the record when more than one person is touching it, and keeping the history of what a part cost and sold for over time.

What about interchange numbers?

They are a seventh field and they come from a licensed data supplier, not from your own records. Binstockly has no interchange data. If matching a competitor's part number is your daily problem, that is a catalogue purchase and we will say so.

Which figure should I fix first?

Accuracy, because the other three are computed from stock levels. A reorder point calculated from an on-hand figure that is 13% wrong by line will order the wrong quantities with great confidence.
